Hourly Offerings

    • Coordinate & smoothly execute all components of set up, service and clean up

    • Prepare & follow recipes per client request

    • Client provides food & menu

    •  Collaborate on seasonally available ingredients

    • Store, serve & plate according to clients wants/ needs for event

    • Server $45/ hr. 

    • Bartender $55/ hr.

    • Cook $65/ hr.

    • Barback $40/ hr.

    • Staffing is determined by event size, client need, and venue

    • Reservations are open to adjustments based on your specific requirements

    • All Coalescence staff are industry professionals

    • All staff have their MAST permits

    • All staff have valid WA state Food Handler Cards

    • Any hours over the agreed hours

    • Only due if not booking a package

    • Additional $100 fee will apply for weddings or events larger than 100 people working without a licensed planner or day of coordinator

  • As part of your timeline fee, Coalescence Event Services provides a fully customized event day timeline that outlines every key moment—from setup to send-off. This includes:

      • A detailed, hour-by-hour schedule tailored to your event flow

      • Coordination of all vendor arrival times, services, and strike logistics

      • Music cue planning for ceremony, cocktail hour, and reception transitions

      • Integration of special moments like speeches, dances, and send-off

      • Timeline distribution to your full vendor team to keep everyone on the same page

      • Final timeline review

      This timeline becomes the backbone of your event day, ensuring everything happens smoothly, on time, and exactly how you envisioned it.

    Planning an event is no small task. Whether you’re celebrating a wedding, hosting a private dinner, or coordinating a community gathering, our Set-Up and Break-Down service ensures everything flows seamlessly — without you lifting a finger.

    What's Included

    Set-Up

    • Table and chair arrangement per your floor plan

    • Linen placement, decor setup, and signage installation

    • Coordination with rental vendors upon delivery

    • Set-out of programs, favors, place cards, guest book, etc.

    • Light support with vendor-specific elements (e.g. photo booth or welcome area)

    Break-Down

    • Removal and organized packing of all client-owned items

    • Coordination with vendors for scheduled pick-up of rentals

    • Basic venue clean-up (trash gathered, tables wiped, space left tidy)

    • Final walkthrough to ensure nothing is left behind

    Pricing

    We charge fairly for the time, attention, and physical labor required to care for your event with excellence. Rates are based on guest count, hours on-site, and event complexity.

    Standard Pricing:

    • Events up to 50 guests: $250 – $350

    • 51–100 guests: $350 – $500

    • 101–200 guests: $500 – $700

    • 200+ guests or specialty venues: Custom quote

    Add-On Options:

    • After-Hours Tear Down (after 10PM): +$75

    • Second Staff Member: +$40/hr

    • Same-Day Set & Break Bundle: Discounted rate available upon request

Let us turn your ingredients into a beautifully curated moment your guests won’t forget. Want help sourcing local cheeses, charcuterie, or produce? What about a dessert grazing station or a brunch grazing table ?Just ask—we’re happy to point you in the right direction or help you source the perfect spread for your guests!

  • All-Inclusive Pricing (Food Prep & Standard Styling Time Included)

    Each package includes food prep (if client-provided), creative layout,& up to the total time listed below.
    Client provides all food, boards, & dishware. Select styling items available upon request if aligned with your aesthetic.

    • Up to 10 guests – $250 (Includes up to 2 hours total prep & setup)

    • Up to 25 guests – $400 (Includes up to 2 hours total prep & 1.5 hour setup)

    • Up to 50 guests – $600 (Includes up to 2 hours total prep & 2 hour setup)

    What’s Included

    • Prep of client-provided food (slicing, grouping, plating, etc.)

    • Full styling and arrangement of grazing table to suit your vision

    • Use of client’s serve ware, signage, props, & boards

    • Will provide brown butcher paper, tools for prep, cutting boards, knives, gloves etc.

    • Access to select pieces from our styling inventory (if available & appropriate to theme)

    • Final walkthrough to ensure table is photo-ready & guest-ready

    Additional Time

    If your setup exceeds the included time based on complexity or volume, additional labor is billed at $75/hour

All services, including packages, are fully customizable to fit your specific needs. If you are wanting something more casual the prices will vary based on what services are needed. If you just need one of the services ala carte that is an option as well. We want to be here for you, whatever way we can.

Dates are available on a first come first serve basis. The time is reserved for you and you are my priority once booked. An approved estimate & payment equal to 50% of the event total, is required to reserve a date. Final payment due the week before the event.
